Privacy policy

Simple Intelligence Group (SIG) operates Simple Onboard for vendor and contractor lifecycle management. This policy describes what personal data we collect, how we use it, and the choices you have.

Data we collect

When your workspace administrator invites you as a contractor, we collect the personal information they enter (name, email, contract dates, role) plus any documents you upload during the onboarding flow (identity documents, signatures, background-check consent). We also collect activity logs (sign-ins, page views) and evidence records for each automated decision.

How we use it

We use your data solely to deliver the Simple Onboard product to the customer that engaged you (your workspace admin) and to keep the audit trail regulators may require. We do not sell your personal data, we do not use it to train unrelated AI models, and we do not share it with third parties except the integration providers your workspace admin has explicitly configured (DocuSign, Checkr, WhoIAM TrueCredential, etc.).

Data location

Simple Onboard runs on Microsoft Azure in the East US 2 region (per SIG entity policy). Regulated-vertical customers may deploy Simple Onboard into their own Azure subscription via Azure Lighthouse delegation; in that case your data stays in your workspace admin's tenant.

Your rights

You have the right to access, correct, or delete your personal data. Contact your workspace admin first (they are the data controller); if they cannot help, contact us at privacy@simpleintelligence.io.

Biometric data

When your workspace admin uses biometric identity verification (WhoIAM TrueCredential, Persona, Onfido, or Microsoft Entra Verified ID biometric attestation), the biometric provider processes your data under their own policies. We capture only the outcome (verified or failed) plus a hash-chained evidence record. In Illinois we honor BIPA consent requirements; we obtain your written consent before any biometric processing begins and we do not retain biometric identifiers longer than the contract term.

Changes

We may update this policy. Material changes will be posted here with an updated effective date.
